Project Overview

Work Management System (WMS) is a system management tool designed for internal use at Hong Kong International Airport. As the sole designer for this project, I was responsible for the entire design process, including brainstorming the project flow, defining what should be shown and included, and creating the user experience (UX) and user interfaces (UI) from scratch.

Fault Reporting and Task Management

The WMS app enables supervisors to create fault reports for staff to execute. Faults include repairing, fixing, cleaning, and managing the baggage handling system. Once a fault is created, staff members see the fault on a card in the app and have one hour to accept or decline the task. The system updates supervisors on the task status, and completed tasks move to the "Completed" tab for supervisors to notice.

Task Status and Management

The app displays various task statuses on cards for supervisors, including "Completed," "Upcoming," "Declined," "Overtime," and "Disabled." For staff, the task cards feature "Decline" and "Accept" buttons, along with a countdown timer indicating the time left to respond to the task. This system ensures that all parties are informed of the task's status and deadlines, facilitating efficient task management and completion.

Task Creation

Supervisors can create tasks by inputting detailed information. They can select a category, with icons added beside each category to help users easily identify and select the appropriate one. For location details, users can either auto-input using their current location or manually input specifics such as terminal and gate. Additional information can be entered as text; a photo is required to support the fault report. Users can also add optional remarks.

Voice Input Feature

In addition to manual task creation, a voice input feature addresses the need for urgent task creation when supervisors are busy. By pressing the voice input button, supervisors receive suggestions on what to state. They see their spoken words displayed on the screen in real-time. After using voice input, the information appears in the respective fields for users to review and edit.

Staff Management and Task Report Consolidation

Users can add and edit all staff members through the CMS by selecting roles for staff and system admin in the dropdown menu. They can also manage access rights, including reviewing, editing, sharing, adding comments, and uploading photos.

Additionally, the system includes task report consolidation, allowing supervisors to view the total number of tasks by status, issue date, and responsible staff names. This feature provides a comprehensive overview of task distribution and completion, aiding in effective monitoring and management.
